Safety information

  • Plug the printer directly into a grounded wall outlet. Avoid light-duty extension cords, and replace a damaged power cord before use.
  • Keep the ventilation openings clear and leave the clearance around the unit that the manual specifies for paper trays, covers and service access.
  • Switch off and unplug the unit before cleaning it or reaching deep inside to clear a jam.
  • Keep ink cartridges, bottles and waste-ink boxes away from children. If ink contacts skin, wash with soap and water; if it gets in the eyes, rinse with water and seek medical advice if irritation persists.

Setup

  1. Unpack and remove shipping materials

Remove all tape, foam and protective film, including pieces inside the covers and paper trays. Some models also have a printhead or carriage restraint; remove it as shown in the setup guide.

  2. Choose a location

Place the unit on a sturdy, level surface (or its floor stand) away from direct sunlight, heating vents and humid areas. Leave room to open covers and pull out trays.

  3. Install ink

Install the ink cartridges or fill the ink tanks with the bottles supplied, matching each color to its slot. The first start-up runs an ink-charging cycle that can take several minutes; do not turn the printer off during it. Setup ink partly fills the ink system, so the first set yields fewer pages than replacements.

  4. Load paper

Fan the paper stack, adjust the tray guides to the paper size and load it below the fill line.

  5. Connect to your computer or network

Connect the unit to your network (Ethernet or Wi-Fi where available) or directly by USB, following the setup guide. Network connection lets several users share it and makes firmware updates easier.

  6. Install drivers and software

Add the printer in your operating system. Many current network printers work with driverless standards such as AirPrint, Mopria or IPP Everywhere; install the full manufacturer driver if you need finishing, security or accounting features.

  7. Set two-sided printing as default

Set duplex (two-sided) printing as the default in the printer driver or control panel. It halves paper use for multi-page documents.

  8. Check the sleep timer

The unit is shipped to enter sleep 60 minutes after the last job. Keep this setting (or shorten it) to minimize idle energy use.

Using your printer

Printing

  • Leave two-sided printing on for multi-page documents; turn it off only for single sheets or heavy media that the duplexer does not support.
  • Choose grayscale in the print dialog for drafts and text-only pages to save color toner or ink.
  • Use draft or standard quality for everyday documents; reserve best or photo quality for photos on matching paper.
  • Select the correct paper type and size in the driver so the printer applies the right heat or ink density.
  • Print at least once a week to keep the nozzles from drying out.

Copying, scanning and other functions

Place originals face-down on the glass aligned with the corner marker, or face-up in the automatic document feeder (ADF) if equipped. Scan documents at 300 dpi for text and OCR, and 600 dpi for photos. Use scan-to-email or scan-to-folder destinations set up in the web interface to avoid printing copies you only need digitally.

Sleep and power settings

The factory sleep delay is 60 minutes. Turn the printer off with its power button rather than a power strip, so the printhead is capped and does not dry out.

Care and maintenance

WhenWhat to do
WeeklyPrint a page (or run a nozzle check) to keep ink flowing.
When print shows streaksRun a nozzle check, then a head cleaning only if needed — cleaning cycles consume ink. Wait several hours between repeated cleanings.
When promptedReplace ink cartridges, refill tanks with genuine bottles of the correct type, and replace the maintenance box (waste-ink pad) when the printer asks.
Monthly, or when copies show marksClean the scanner glass and (if equipped) the narrow ADF scanning strip with a soft cloth and a little glass cleaner applied to the cloth, not the glass.
At the scan count in the manualClean or replace the feed rollers and separation pad to prevent multifeeds and jams.
Every 6 monthsInstall firmware updates from the manufacturer and vacuum dust from the exterior vents.

Troubleshooting

Most printer problems come from media, consumables, connections or settings. Try these steps first; for numbered error codes, look up the code in the manufacturer's manual or support site.

ProblemPossible causeWhat to try
Shows offline or jobs stay in the queueNetwork or IP address changed; wrong driver or port; printer asleep and not waking.Restart the printer and computer, print a network configuration page, re-add the printer using its current address, and reserve that address in your router.
Streaks, banding or missing colorsClogged nozzles; printhead misaligned; low ink.Run a nozzle check and, if needed, a head cleaning; then align the printhead and check ink levels.
Cartridge not recognizedProtective tape left on; contacts dirty; incompatible cartridge.Remove the tape, reseat the cartridge, wipe contacts with a dry lint-free cloth, and use the cartridge type specified for this model.
Smudged or wet printsPaper type setting wrong; printing on the wrong side of photo paper.Select the correct paper type and load photo paper glossy side toward the printhead as shown on the tray.
Vertical lines on scans or copiesDust or correction fluid on the scanning glass or ADF scanning strip.Clean the glass, the narrow scanning strip and the white backing under the document feeder.
Multiple pages feed at onceWorn separation pad or rollers; pages stuck together.Fan the stack before loading, clean the rollers, and replace the roller kit if multifeeds continue.
Paper or media jamsWrong media for the tray; overfilled tray; worn rollers; debris in the path.Remove jammed media in the direction of the paper path, check for torn pieces, reload within the fill line, and clean the rollers.
Slow to start the first jobUnit waking from sleep. This is normal. Group jobs together; avoid disabling sleep, which raises energy use considerably.

Energy use and running costs

The Xerox IJP900 has a typical electricity consumption (TEC) of 6.27 kWh per week. ENERGY STAR's TEC test simulates a typical office week — a set number of jobs each workday, with the device dropping into sleep between jobs, overnight and over the weekend. Over 52 weeks that is about 326 kWh per year, roughly $55.43 a year at $0.17 per kWh.

Heavier printing volumes, disabling sleep, or a longer sleep delay than the default 60 minutes will raise real-world consumption. Paper typically has a much larger environmental footprint than the electricity, so duplex printing saves more than any power setting.
